Every business owner has had this moment. You open WhatsApp, see a "thank you for the wishes" message from a client, and realise three other people had birthdays that week and you missed all of them.
It is not that you do not care. It is that remembering birthdays is a job nobody has been given, so it only happens when somebody happens to notice.
Track Flows already showed you whose birthday it was. From today it can send the wish for you.
What it does
Once a day, at a time you choose, Track Flows checks who has a birthday and emails them a short, warm birthday message. Two things make it worth using rather than ignoring:
- It comes from you, not from us. Your logo sits at the top, your company name is the sender, and it is signed with your name. Nothing about it says "sent by software".
- You decide who gets one. Your team, your customers, or both. Anyone with no birth date or no email address on file is simply skipped.
At the bottom there is a small "Powered by Track Flows" line. That is the only part that is ours.
Why the time matters
You pick the hour and minute. This is worth thinking about for a second rather than leaving on the default.
A wish that arrives at 00:01 reads as automated, because no person sends birthday messages at one minute past midnight. One that arrives at 9 or 10 in the morning reads like somebody remembered over their first cup of tea. Same email, completely different impression.
What it does not do
It does not message anyone twice. Each person receives one wish per birthday, and that holds even if the server restarts halfway through the morning or runs on more than one machine.
It does not send to people you have not got details for. No birth date, no email, no message, and nothing is guessed or filled in.
It does not touch your customers' data or add anyone to a mailing list. It is a single message on a single day.
Turning it on
Go to Settings → Birthday Wishes in your Track Flows panel.
One thing has to be done first: your own email settings need to be set up and verified, under Settings → Email Settings. There is a reason for that. These messages go out under your company name, so they have to be sent from your email account rather than ours. An email that claims to be from your company but leaves from somebody else's mail server is exactly what spam filters are built to catch.
Setting that up takes a few minutes once, and it improves the delivery of every other email your business sends through Track Flows at the same time.
The part that is easy to underrate
A birthday message is not a marketing campaign and it will not close a deal by itself. What it does is keep you in front of a customer once a year in a way that asks for nothing.
In a service business, where the work is often invisible between projects, being remembered is most of the battle. This is the cheapest way there is to be remembered, and now it happens whether or not anyone thinks about it.
